Instructions
These terms of use include general conditions of the website, the instructions to users and National Administrators and the Privacy policy. They apply to the entire site generically named Frontex Virtual Aula (FVA) and its contents. FVA has been developed by Frontex Training Unit (TRU). Please read these terms of use carefully. Accepting it in full is a condition to use Frontex Virtual Aula. By using FVA you will be considered as having accepted these terms of use; please note that terms of use can be amended. When amended you will be automatically notified after the log in and asked to accept the terms of use in order to maintain your access to the system.

 

Definitions
Virtual Aula Partners (VAP): a forum composed of Border Guards organizations / law enforcement agencies of EU Member States, Schengen Associated Countries and designated third countries / officials of EU bodies.

Frontex administrator (FA): user with management rights under FVA acting as a part of Frontex Training Unit

National administrator (NA): user with management rights under FVA acting as a part of a National Agency

User: Law enforcement official or official of an EU body that has been granted access by an administrator.

Third party: any other entity not included in the abovementioned categories; Frontex Staff members who are involved in the administration of FVA or have been granted access to its content, for justified purposes are not considered as third parties. The same holds true for Frontex contractors who are entities or individuals involved in the administration, development and hosting of Frontex Virtual Aula which are under contract with Frontex and which are bound by a confidentiality clause.

 

General conditions

  • Classified or sensitive information is not to be posted on FVA
  • Administrators reserve the right to block or cancel the account of a user in case of misuse of FVA or non respect the terms of use
  • Administrators reserve the right to delete any informational content which it considers as provocative or irrelevant

Instructions to Users

To be able to use FVA, you must be an Official of a VAP and provide a valid email address; your access request must have been approved by an administrator. In all cases, user name should follow the form: name.surname (surname.name). Real name and surname are mandatory. For NFPOCs user name should follow the form: nfpoc.[state]

  • The access right is personal and must not be shared / given to any other person / organization
  • You should not disclose FVA contents to any “third party”
  • You must respect Intellectual Property Law and address any related issue to your National Administrator
  • You must obtain a written authorization both from your National administrator and from Frontex before being able to publish or disseminate FVA content to third parties;

 

Instructions to Frontex Administrators

  • you are responsible for granting access right to the national experts / EU experts nominated by a VAP in connection to Frontex Training Unit projects
  • you are responsible for informing the users and ensuring that they respect FVA’ terms of use
  • you cannot disclose FVA contents to any “third party”
  • you must notify Frontex data protection officer on planned processing operations of personal data
  • you must respect Intellectual Property Law and are responsible for handling any related issue, in particular, but not limited to information uploaded / validated by you

 

Instructions to National Administrators

  • you are responsible for granting access right to the national officials (you will grant user rights only to nationals officials of the institution mentioned in Frontex Virtual Aula for which you were assigned as National Administrator)
  • you are responsible for uploading / validating information introduced into the system related to your state / organization only
  • you are responsible for informing the users and ensuring that they respect FVA’ terms of use
  • you are responsible for delegating administrator rights but only to national members of the institution mentioned in FVA for which you were assigned as administrator; you are responsible for the respect of these terms of use even in case sub-delegations have been set up; you are responsible for any actions taken by the sub-administrators
  • you cannot disclose FVA contents to any “third party”
  • you must obtain a written authorization from Frontex before being able to publish or disseminate FVA content
  • you must respect Intellectual Property Law and are responsible for handling any related issue, in particular, but not limited to information uploaded / validated by you
  • you have access to the personal data (identifiers) and you must get a written consent according to your national rules with respect to personal data protection

 

Privacy policy

This Privacy policy refers to the way Frontex collect, store and use personal data. In accordance with Regulation 45/2001, personal data provided in the context of FVA will be processed by Frontex solely in connection with a specified purpose (see infra).

  • the purpose of collection of personal data is to enable the user to access and to receive access to FVA and – secondary – to enable the user online registration to Frontex training activities
  • the personal data collected are: first and last name, email address and mobile phone number
  • collection is done at the user’s initiative: Frontex does not collect any personal data on its own initiative
  • personal data will be directly accessible to your National Administrators, Frontex Administrator and Partnership Academy meeting managers responsible for the organization of the meeting to whom you register (in case you apply / register to a meeting / training activity)
  • personal data may be directly accessible to other VA users following your decision, using the functions offered by the system
  • personal data will not be disclosed to third parties, without prejudice to possible transfer to monitoring or inspection bodies upon its request in accordance with European Union legislation
  • personal data will be stored as long as the account exists and as long as FVA operates. You may decide to close your account in which case Frontex your personal data will be removed from the platform
  • any request for information or for access, rectification, or erasing your personal data should be directed to Frontex Administrator [training.office@frontex.europa.eu] using the functions offered by the system
  • Frontex commits to take adequate measures in order to protect your personal data
